Features of the dealership software

Everything here is built and running. What is missing is further down — on a page that shows only the finished parts, you find the gaps after you have bought.

Stock and website – enter once, current everywhere

Every vehicle with engine, condition, equipment and photos. From draft through "available" and "reserved" to "sold" — and what is sold disappears from the showcase without anyone having to remember.

Your dealer website runs under your domain, in your colour scheme, with paging and a detail page per vehicle. An empty VAT rate means margin taxation under § 25a UStG — that appears next to the price, in every list, not only on the detail page.

Photos from your phone

Upload, done. The application stores two versions — a large one for the listing page, a small one for lists — and discards the original. A phone photo has twelve megapixels; no page shows more than 1600.

Only what really reads as an image is accepted. HEIC from an iPhone fails at that point — with a message naming the file, rather than later when serving the page.

Vehicle purchasing: enquiries through a form

A form without an account: the seller enters their vehicle, you see the enquiry in a list. Make an offer, negotiate, decline — they follow all of it through a link.

You set the value. There is no automatic valuation via DAT — neither connected nor prepared. Access requires a contract, and an integration written against an unverified interface is quietly wrong for three years.

Customers and enquiries

Customer records with their own number, free-text search across name, company, e-mail and phone. Your contact form lands as an enquiry in the same list and can be turned into a customer.

Consent to status messages sits with the customer — they give it, so it belongs to them. Without it no status message goes out; a request to approve additional work does, because it is not a message but a question before you spend money.

Your customers' cars

Every vehicle with its keeper, plate, VIN, first registration, mileage and inspection date. The workshop order hangs on it: once the car is on file, taking it in is two clicks.

When a vehicle is created, the application checks whether the VIN already exists in your records and rejects the second one. Anything coming in through a stock migration bypasses that check — an import can bring duplicates with it. That sounds minor and is the most common everyday mistake: whoever cannot find the existing entry creates the car a second time — and from then on orders and status messages drift apart across two records that both look right. Mileage only goes up; downwards only with an explicit correction, so that one zero too many does not stay forever.

Workshop appointment planner with online booking

Opening hours per weekday with several windows, closing days, a reminder before the appointment. Customers book online, without an account. One bay per time slot — several bays side by side, three lifts as three simultaneous appointments, is not part of the dealership plans.

The calendar can be subscribed to in Outlook, Google or Apple. One way only: an appointment moved there changes nothing in the application — a real two-way sync needs a second source of truth, and you do not want one.

Notifications

E-mail through your own sender, optionally through Microsoft 365. From Pro also WhatsApp. Every message sent is in the delivery log, with a reason if it did not arrive.

You maintain sender and credentials yourself. If the route fails, the log says so — it does not quietly fall back to a different sender your customers do not recognise.

Reviews, with no filter in front

After a completed order the customer is asked for a review — with a direct link to your profile. Once, not twice.

No "how satisfied were you?" gate that forwards only the happy ones. Google forbids it explicitly, and it works exactly until someone notices. Ask, and you get the uncomfortable answer too — which is what makes it a real one.

What the month brought

An overview of vehicles sold, workshop orders completed and enquiries received — per period, without exporting to Excel.

The figures come from the same data you work with. There is no second set of records for reporting that says something different three months later than the list next to it.

Two areas in detail

What does not exist yet

No direct connection to AutoScout24 — there it stays with the file to upload. No automatic vehicle valuation, no vehicle history from outside sources. All three need a contract with a third party. As soon as one is in place, the connection follows without anything changing in your workflow — that is how mobile.de arrived, connected directly since step 65.

And one that needs no third party: an invoice cannot yet be written out of a workshop order. The invoice itself exists, with a gapless number range, PDF and cancellation — what is missing is the button that builds one from an order's line items. Until it is there, you invoice as before. This is here because otherwise you would find out after buying.
